This policy covers the information Foothills Group Inc. collects when you use foothillsequipment.ca, including when you ask about a machine, request a quote, book a demo or otherwise fill in a form on this site. It is written to Alberta's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect, and why
When you send us an inquiry we ask for your name and phone number, because we cannot get back to you without them. Email and notes are optional. We also record which machine or product you asked about.
We use what you give us to answer your inquiry: having someone from our team follow up with you about the machine, a quote or a demo.
TODO legal review: the event draw policy also covered sending news and offers, and using contact details for advertising. The website inquiry form's consent line covers contacting people about their inquiry only. Confirm what this site's forms will ask for before adding either use here.
Alongside that we record technical information your browser sends: the page you arrived from, any campaign code in the link you followed, your browser type, the country your connection appears to be in, and your IP address at the moment you gave consent. The IP address is kept for one reason only, which is to be able to show when and from where a consent was given if anyone ever asks.
Cookies and analytics

What we do not do
We do not sell your information. We do not rent it, trade it, or pass it to anyone for their own marketing.
How consent works here
Our forms tell you in plain words, directly above the button you press, what sending the form means we can do with your details. Pressing the button is how you agree to that. There is no hidden step and nothing is pre-ticked.
We record the exact wording you were shown, along with the date, the time and the IP address it came from. Canada's anti-spam law (CASL) puts the burden of proving consent on the sender, so we keep the evidence rather than just a yes or a no.
Every commercial email we send carries our name, our mailing address and a working unsubscribe link. You can withdraw at any time, through that link or by emailingprivacy@foothillsequipment.ca. We will action it promptly and it costs you nothing.
Advertising
TODO legal review: the event draw policy explains Customer Match and Custom Audiences (hashed contact details sent to Google and Meta, and lookalike audiences). Keep that section only if website inquiries will be used this way and the form's consent wording covers it.
Where the information is stored, and who else can see it
Your information is stored outside Canada. We are telling you plainly because Alberta's PIPA requires it.
- Cloudflare hosts this site and runs its forms and their database. The database region is Western North America, which means the United States. There is no Canadian region available for it.
- Pipedrive is our client record system, and your details are sent there so a person on our team can follow up. Pipedrive stores data outside Canada.
Information held outside Canada may be accessible to the courts and law enforcement of the country it is held in, under that country's laws. Our service providers are bound by contract to protect it and to use it only to provide the service to us.
How long we keep it
Contact details and the consent record are kept until you withdraw, and for two years afterwards as proof that the consent existed. After that they are deleted.

Your rights
You can ask us what we hold about you, ask us to correct anything that is wrong, withdraw a consent, or ask us to delete your information. Email privacy@foothillsequipment.ca or call(403) 523-0488 and we will respond within 30 days, which is the period PIPA sets.
If you are not satisfied with how we handled it, you can contact the Office of the Information and Privacy Commissioner of Alberta.
Keeping it safe
Access to inquiries is limited to the people at Foothills who need it, over encrypted connections. No system is perfect and we are not going to claim otherwise, but we do not keep anything we do not need, which is the part that actually reduces the risk.

Changes
If we change this policy we will change the date at the top. Material changes to how we use information already collected will not be applied retroactively without asking you first.
